Why is Insta Quote AI accurate?
Insta Quote AI is accurate because it is built then tested around your business and its data. It replicates how you quote now, faster.
Before an account goes live we replay jobs you have already quoted through the system and compare the result to the quote you actually sent, section by section. Where it misses, we change the rule or the rate that caused the miss rather than nudging the number. It is signed off with you at 80-100% accuracy on tested systems.
Do I need my own rates to use Insta Quote AI?
No. We have a database of rates that are available, and we can build them around your business.
How does Insta Quote AI work?
It works in three steps. First, describe the job. Type or speak the details, and upload photos, plans or measurements. Second, review and refine. The quote comes back itemised, and you check every line and prompt the AI to adjust anything until it is right. Third, send the quote. A professional PDF in your own template is emailed straight to you, ready to forward to the client.
Behind those three steps sits a system our team builds around your rates, your suppliers and the way you price.
How is Insta Quote AI different from other AI quoting tools?
It is not a generic tool with an industry-standard formula behind it. The system is built around your quoting structure and your rates, configured specifically for how you quote, then tested on your own past jobs.
That is why it can produce quotes at 80-100% accuracy on tested systems, and why it can be operated every day without feeling like another piece of software to figure out.
Do I have to change how I price?
No. The opposite. We take the way you already price and rebuild it inside the system, so what comes out looks like the quotes you have been sending.
The only time we come back to you is when your own material disagrees with itself, which happens on most rate sheets that have been in use for years. We show you the difference and you decide which one is right.
What do you actually need from me to set it up?
Access to the material your pricing already lives in: your rate sheets, your price book or supplier pricing, past quotes, ideally with the plans they were priced off, your quote template and your logo.
The single most useful thing you can give us is a set of plans plus the quote you actually sent for that exact job. That is the question and the correct answer in one file, and it is what we test against.
How long does setup take?
One to two weeks for most trade businesses. One to four weeks for homes companies, material suppliers and commercial builders, where there is more to gather and more to test.
What usually decides the timeline is how quickly we can get your rates, your past quotes and your plans, not the build itself.
Is it hard to set up?
No. Our team looks into your quotes, your back costing and the material you have now. It is as simple as handing access over, and we do the rest.
There is no blank screen to fill in and nothing for you to configure.
Can I use my voice to quote on site?
Yes. You can speak your job details straight into Insta Quote AI rather than typing them, which is the point when you are standing in someone's back yard.
You can also send photos, a set of plans, or measurements, and combine any of them with what you have said.
Can it read a full set of plans?
Yes. Our AI Plan Reading Model reads the drawings, detects what is on them, measures what is not printed, and turns that into quantities and labour for the work you do.
Where two sheets disagree, which happens more often than people expect, it says so and holds rather than quietly picking one. There is more on how the plan reading works.
What happens with GST?
GST is handled on the output, at 15% in New Zealand and 10% in Australia, and it is set per account rather than guessed per job.
Cost and margin stay back of house. They never appear on the document your client reads.
Does it work the same in Australia as in New Zealand?
The system is the same, the settings are not. Australian accounts run at 10% GST, use prime cost and provisional sums the way an Australian residential contract expects, and reference the National Construction Code rather than the New Zealand standards.
Will it work with the software we already run?
We look at what you run and connect to it as part of setup, rather than asking you to move off it. Accounting and job management software is the usual case.
Tell us what your office runs when we talk and we will tell you straight whether we can connect to it or whether you would be re-entering.
Can my team use it?
Yes. Team members get their own login against your quoting structure, so the quote an apprentice sends is priced the same way the quote you send is priced.
You stay responsible for what your team does on the account, which is worth saying out loud rather than hiding in the terms.
What happens to our pricing and our data?
It stays yours. Your rates, price book, past quotes and client details are kept in your own account, stored with the services listed in our privacy policy, and what is sent to generate a quote is not used to train the underlying models.
Access is controlled per account and per team member, branch data is kept separate, and your data is exportable and removable on request. The detail is in our privacy policy.
Does it replace our estimator or our QS?
No. It changes what they spend the day on. Instead of building a takeoff from scratch, they are checking one that is already done and putting their judgement where it actually counts.
For most businesses that means more work priced with the same people, not fewer people.
Who is it not for?
A one-person business sending a couple of quotes a month off a rate card, or anyone whose quotes already take ten minutes straight off a price list. The time saved would never add up, and we would rather say so.
It suits a business with a crew, quoting competitively off plans or site visits, where quoting takes an hour or more and enquiries are backing up behind it.
What is a pricing review?
A pricing review is a look at how your business prices work today, what that is costing you in time and in work that slipped, and what a system built around your business would look like. There are no obligations attached to it.
It happens on a call or in person, whichever suits, and you get the numbers whether or not you go any further. You can ask for one here.

Upload your plans and describe the job, review and refine the working, then generate your final output. Our team builds and tests the system underneath those steps during setup.
Do we need to organise all our records before talking to you?
No. Start with the work you do and whatever records you have. We help identify useful material, resolve gaps and agree the next steps for your chosen plan.
Can it fit around our existing software?
We review the systems and accounts you use and scope any integrations around your business. The connection depends on the other system’s access and the work agreed during setup.
Who builds the AI Brain?
For paid custom plans, our team configures the AI Brain with your working methods, scope decisions and pricing rules. Someone who understands your work helps confirm assumptions and review the test jobs.
What happens at handover?
We show your team how to use the system, review the agreed scope and collect feedback through a handover survey. Any further refinement is considered against your work.
Does every job change the way the next one is priced?
A change for one job may not be right for another. We distinguish job-specific adjustments from lasting pricing rules. Automatic back-costing and wider learning-loop features remain in development.
Do we still check the quote?
Yes. The working remains available for your team to review and refine. The person responsible for the quote approves the scope, assumptions and figures before it goes to a client.

Do I need my own rates or past quotes?
No. Paid custom plans can start from relevant industry data, with rates and allowances checked for your trade and region. Existing rates and correctly priced quotes are useful where available.
How do you choose industry data for my business?
We consider the trade, location, specification, date and what the rate includes. The starting basis is reviewed against the way your business carries out the work, with your agreed overheads, margin and job-specific allowances. The plan determines the level of configuration.
What is the difference between plan reading and the AI Brain?
Plan reading works with the job information in drawings and supporting documents. The AI Brain holds the business context and agreed pricing rules. Connecting them lets the measured scope be priced using the relevant methods, rates and allowances.
Is the v3 plan-reading model available now?

Can we keep our existing pricing method?
Yes. Existing rates, quote structure and commercial rules can form the basis of a paid custom system. If records are incomplete or disagree, we work through the rule with you.
How do you check the pricing before handover?
We agree representative jobs and reference pricing, compare quantities, rates, allowances and scope, then investigate differences and test refinements. You review the agreed work before handover. Each new quote still needs your team’s approval.
Does it learn automatically from every completed job?
We can use completed-job records and feedback to review and refine your setup. Automatic back-costing and wider learning-loop features are in development; your agreed setup determines what is connected today.

AI plan reading

Does it read drawings as well as text?
The model uses drawing information and written sources together: geometry, stated dimensions, schedules and specifications. These sources connect the drawn work to its scope and quantities.
What should I upload?
Send the current PDF plan pack, including relevant sections, details, schedules and specifications. Photos and written measurements can add context, but the quality and completeness of the material affect what can be measured.
What if a dimension or detail is missing?
The missing information needs to be identified and resolved or carried as an explicit assumption for review. Your team checks the draft scope and quantities before pricing is finalised.
Is v3 available now?
v3 is the upcoming plan-reading model trained on real drawings.
How do I review the reading?
Check the scope and quantities against the drawings, including dimensions, item counts and construction details. Confirm missing specifications, site conditions and selections before approving the pricing.
Does plan reading decide how we build the job?
Your drawings, specifications and agreed business methods determine the work. The system supports takeoff and pricing; your team confirms the construction method, scope and assumptions.

Can we use it without our own rate book?
Yes. Paid custom plans can use relevant industry data when you need a starting point, with rates and allowances checked against the work you price.
What is a labour constant?
It is a time allowance for a unit of work, such as installing a fixture or completing an area. We review the allowance against the installation method, site conditions and what the task includes.
Does it know the standards for every trade?
Standards coverage is specific to the system being built. We agree the relevant rules, confirm which calculations are supported and test their application. It is not a blanket compliance check across every trade.
Where do material prices come from?
They can come from your supplier price files, job quotes, approved business records or relevant industry cost data. We agree the source, product, region and date used, and how updates are handled. Prices are not assumed to refresh automatically.
Can it work alongside our estimator or QS?
Yes. It supports takeoff, rate application and preparation of a pricing draft. Your estimator or QS checks the scope and figures and remains responsible for the decisions and advice that require their expertise.
Can it compare pricing with trade quotes?
Trade quote comparison can be included in the agreed setup. The useful comparison is scope as well as price, including exclusions, allowances and differences in what each contractor has included.
How do you check the pricing?
We compare your system’s output with correctly priced jobs, investigate differences and test refinements before handover. Each new price remains available for your team to review.

Do I need a pricing history to get started?
No. Paid custom plans can use your existing rates or relevant industry data as a starting point, with the configuration shaped around your work.
Do we have to change our rates or quote structure?
We build the system around your existing method. Where the records are incomplete or disagree, we work through the rule with you before it becomes part of the setup.
What information goes into the AI Brain?
Your rates, working methods, normal job types, inclusions, exclusions and quote structure. The useful detail comes from your records and the people who understand your pricing.
Can past quotes help build new rates?
They can provide evidence when the scope, quantities and assumptions are understood. We review suitable records with you before establishing a rate or labour constant from them.
Can we edit the quote before it goes out?
Yes. Review and refine the working in the workspace, then generate the final output. Your team remains responsible for approving the quote before it is sent.
Can we include supplier or subcontractor quotes?
Upload the relevant pricing and scope so it can be considered in the job. The agreed setup determines how those costs, exclusions and margins are carried into your quote.
Does it use our branding?
The output is built around the template and structure agreed for your business, including your branding. We review that format with you during setup.
Can I use it on my phone?
There is a mobile app for iOS and Android alongside the web app. You can gather job information on site and review the working at your desk.

Do I need my own rate book to start?
No. Paid custom plans can use your own rates or an agreed starting rate basis suited to your work. We check the source, date, location and inclusions, and your team reviews the draft.
Does it handle GST at 15%, and can I quote excluding GST?
We agree the applicable GST treatment and its presentation during setup. For a standard-rated supply, that is 15%; the quote should make clear whether figures include GST. Your business confirms the correct tax treatment for its work.
Can it use my supplier account pricing?
Yes. Your supplied price files and job-specific supplier quotes can form the pricing basis. We confirm the units, costs and markup rules during setup, and agree how updates will be maintained.
This does not imply a live connection to every supplier account. Any connection is scoped separately.
Can it read a full consent set, or just a floor plan?
Plan reading brings together multiple drawings, schedules and specifications to identify the scope, quantities and construction details. Your team checks the result and confirms information the documents do not settle.
Descriptions, photos and site measurements can supply information that is not in the drawings. Your team checks the combined scope before approving a price.
Will it get things wrong?
Yes, errors and missing information are possible. We compare representative jobs section by section, investigate the cause of differences and repeat the relevant tests. You review the agreed scope before handover, and each new quote remains a draft for your team to check.
Information absent from the drawings or brief needs to be supplied or identified as an assumption. Site conditions still require your judgement.

We already have an estimator. What are we actually paying for?
A draft can reduce repeated preparation and give the estimator scope, quantities and rates to work through. They retain the decisions about allowances, risk, final price and when the quote is ready to send.
Authorised team members can use the agreed pricing structure. Each quote still needs an appropriate reviewer.
Is my business the wrong size for this?
The amount and complexity of your pricing matter more than team size alone. A small workload may suit a simpler plan; your own rate logic, drawing sets and output requirements may call for a configured system. Compare the plans or discuss the fit with us.

How is Australian GST handled in the quote?
We agree the applicable GST treatment and document layout with you. Standard-rated Australian GST is 10%; your business confirms which treatment applies and reviews the subtotal, tax and total before sending.
Does it price in AUD, or do you convert from New Zealand dollars?
We agree AUD pricing inputs and the output currency for your Australian work. Your rates and supplier costs should be supplied on that basis. This is separate from confirming the price and currency of your Insta Quote AI subscription.
We are in Queensland and the rules here are different. How does that work?
Bring the confirmed specifications, rates and document requirements for your work. We agree how those inputs affect the pricing setup and test the output against your jobs.
We do not offer a general check of every state rule or automatic legal compliance. Where you work across regions, the differences in the agreed workflow are scoped and tested.

We already have an estimator. Why would we need this?
Your estimator helps define the scope, rates and checks. A draft can reduce repeated preparation so their attention goes to the decisions, assumptions and final price that need review.
It does not sign off a price. Your estimator still does that, and team member sub-accounts mean the rest of the crew quotes to the same rules.
Can it work with the software we already run?
We review the software you already use and agree any export, manual handoff or custom connection during scoping. Connections are specific to the agreed build, not automatically available for every system.
